Which property workflow integrations are worth keeping after a trial?

The demos make a connected workflow look convincing, but I’m not yet persuaded that every connection deserves renewal. We tested systems spanning enquiries, document handling, viewing calendars and transaction updates. The useful ones should stop staff copying the same details and should pass along enough history for work to continue in the next tool.

How are people measuring that in practice? I’m looking for examples where an integration reduced rework rather than adding a screen to monitor. Mobile access, document versions and accessibility information are particular concerns, as is using the workflow across several countries. I can add more detail about our trial if that would help.

I’d prioritise the handoff from listing import to viewing schedule, then into the transaction record. That is where repeated names, addresses and status changes tend to accumulate. Measure not only minutes saved, but also how often staff reopen the original system to understand what was imported. If they still need both screens, the integration has shifted the work rather than removed it.

The focus on smoother handoffs makes sense, but I’d separate two meanings of accessibility before assessing the integrations. Are you transferring accessibility features of each property, or asking whether staff and clients can use the software accessibly, including on mobile? A system could perform well on one and badly on the other.

I’d also check what happened when a document was replaced or corrected. Could users identify the current version, see earlier changes and confirm who approved it, or did the trial mainly cover enquiries and viewing administration?

Good distinction. I’d be cautious about treating fewer clicks as the whole result. An automatic handoff can look fast while losing who changed a document, which version was approved, or who had permission to see it. Multi-country use makes that more important because the workflow and required fields may differ by local jurisdiction. Clara, I’d ask each supplier to demonstrate one amended document and one permission change from start to finish, not another ideal new-listing demo.

I wouldn’t start with listing imports. They are visible and easy to demonstrate, but a weak mobile handoff during viewings may create more daily friction. Run the same sample property through each shortlisted system: import it, schedule a viewing on mobile, update accessibility details, replace a document, restrict access, and export the audit history. Count manual re-entry and missing context at every step. Any tool that needs a separate dashboard just to confirm the transfer should probably be challenged before renewal.
