I’m comparing tenant-placement proposals for a villa in New York valued around $680,000. The cheapest quote excludes negotiation and document coordination, while the fuller options remain involved through signing. Yet all are described as “tenant placement.”

What should an owner reasonably expect in the quoted fee: marketing, inquiry response times, showings, screening, negotiation, lease coordination and a documented handoff? I also want to know who is accountable if an applicant goes quiet or paperwork stalls. I’m looking for a practical way to compare the scopes and cash downside, not a sales pitch.
 
Ask each provider to rewrite the proposal as an included/excluded task list with deadlines. At minimum, clarify who handles inquiries, showings, screening criteria, negotiations, document collection, deposits and the move-in handoff. Also require the fee trigger and cancellation terms in writing.

One complication: “closing” usually suggests a sale, while tenant placement ends with a lease signing. Make sure everyone is quoting the same service before comparing prices.
 
The New York location needs narrowing too—New York City or elsewhere in the state? Local practices and required paperwork may differ. I wouldn’t assume the most comprehensive package is automatically best; an owner who already has lease coordination covered may only need sourcing and screening. Send every bidder the same scenario and ask what happens, at whose cost, if the first approved applicant withdraws before signing.
