What makes a proptech integration genuinely save time?

We can connect several specialist tools, which risks fragile handoffs, or choose one broad platform, which may leave each team working around its limitations. Neither option feels like a genuine saving if staff still re-enter details or search elsewhere for the history of a case.

We need to cover enquiries, listing imports, documents, viewings and transaction updates. How would you test whether an integration has reduced missing fields, duplicate work and follow-up questions rather than merely added another screen? Mortgage-rate feeds, audit history and open integrations are particular concerns, as is supporting separate local requirements across several countries.

I’d measure the handoff, not total time in the platform. Pick one journey—listing import to enquiry to viewing—and count manual re-entry, missing fields and follow-up questions before and after integration. If those do not fall, the connector is probably just moving data between dashboards.

For cross-country use, are you expecting one shared workflow, or separate local processes with a common reporting layer?

Also test permissions and audit history during that journey. A fast handoff is not much help if everyone needs broad access or nobody can tell who changed an applicant’s details. Mortgage-rate data raises another question: do staff only need a visible reference, or must the rate and its date be preserved with the case?

Two awkward test cases would tell you more than one smooth journey. Keep the listing-to-viewing test, but add a corrected document after approval and a viewing change made from a phone.

The first test is easy to repeat or abandon. A weak version trail discovered near completion is much harder to unwind, especially if permissions differ by country. I would make the integration conditional on both later cases preserving the record, author, timestamp and relevant context without a manual workaround.

Before choosing, make a field map for each country and mark what is shared, local-only or unavailable from the other system. Then ask vendors to demonstrate the same test cases using your required fields—not a prepared demo record. Record duplicate keystrokes, unresolved errors and permission workarounds. Open integrations matter, but clear failure handling matters too; otherwise staff will maintain a shadow spreadsheet whenever a sync breaks.
