We can replace several systems with one platform, but that risks losing specialist features. Keeping the current tools avoids that disruption, yet staff are already re-entering details and chasing the latest file.

I’m trying to work out which choice creates the harder problem to undo. Has anyone found an integration where a lead, property record, appointment and document history pass cleanly to the next person, including clear control of document versions? I’d also like to know whether the workflow remains usable on a phone. Support for school-area information and work across different countries would be useful, but only after the basic handoffs are reliable.
 
I’d prioritise the handoff from listing import to the main client or case record. If every property and contact has one consistent identifier, documents and updates can follow it without repeated matching. A read-only feed is less useful if staff still have to correct information elsewhere. Also test whether edits and failed transfers appear in the audit history; otherwise the saved typing becomes extra detective work.
 
Which system would remain authoritative when two tools hold different addresses, viewing times or document versions? That decision matters more than the number of integrations. I’d also test the full handoff on a phone, not just on desktop. A workflow can look seamless in a demo but still force field users to make notes elsewhere because permissions or screens are impractical.
 
I’d push back on making school catchments an early integration priority. Across countries, the definitions, update cycles and geographic coverage may not line up, so a tidy map can create false confidence. First ask whether the provider exposes where and when each record came from. For the core workflow, permission controls and document versioning are probably harder to work around than manually checking school information.
 
A practical trial would use a few sample cases from first enquiry through viewing, document revision and transaction update. Record every manual re-entry, context request and switch between systems. Then repeat with each proposed integration and note where data can be written back, not merely displayed. Include one changed listing, one replaced document and one restricted user; those edge cases should reveal whether you are removing work or relocating it.
