How are you testing whether tenant-placement tools actually save time?

We need to choose a tenant-placement setup soon. One option keeps most of the process in a single system; the other links specialist tools for enquiries, viewings, paperwork and deal progress. The specialist route may be more flexible, but it could preserve the repeated typing and poor handovers we are trying to remove.

Our test is whether the next staff member can understand a case and act without chasing colleagues. Has anyone measured admin time before and after an integration, including how often information is entered twice and whether changes remain visible in an audit history? We also need open connections, closing-cost information and support for workflows spanning multiple countries, rather than another polished dashboard.
 
I’d test one complete journey rather than compare feature lists: listing import to lead record, viewing, documents and final update. Count how many fields are retyped, where staff leave the main system, and whether edits preserve an audit history. Also ask vendors to demonstrate the same process on mobile, with restricted permissions—not just through an administrator account. Which handoff currently causes your team the most rework?
 
The workflow may travel across borders more easily than the closing-cost information. My concern is who maintains each country's fields, assumptions and document versions when the underlying data changes.

The answer depends on ownership. If the vendor is responsible for accuracy and can show a usable audit trail, include the cost data in the pilot. If your team must maintain it, test the operational workflow separately and treat that dataset as its own project. Either way, time the worst handoff identified above—for example, moving a viewing update into the document record—and reject a system that only relocates the retyping.
