A repair involves two properties. Who should keep the whole job moving?

Some maintenance problems don't stop neatly at the boundary of one home. A contractor needs access next door, or an inspection depends on information from a building manager.

How would you keep a tenant informed while different people organise their parts? I'm looking for a workable communication routine, not advice about entering somebody else's property.
 
One named contact for the person living with the problem. They shouldn't have to retell the story to every contractor just to learn whether anything is happening.
 
Record what's been checked and what still depends on access or permission. Otherwise the next visit can repeat the previous visit without moving the investigation forward.
 
Also separate 'waiting on someone else' from 'we haven't followed up'. An update can acknowledge the delay and still say when the next action will happen.
